Define what has actually been superseded
Begin with the controlled change notice or artwork decision. Identify the product, label component, old revision, replacement revision and the scope of the change. If the decision applies only to one market version or component, make that explicit.
Ask the responsible owner when and where the old version stops being eligible for use. Do not infer that answer from the date a designer saved the new file. The release plan may contain a specific transition, an immediate hold or another authorised condition that purchasing needs to communicate accurately.
Keep product-content and market decisions with the brand's qualified reviewers. This guide is an inventory coordination method. It does not determine whether older wording is legally acceptable or authorise continued use of a superseded package.
Look beyond the main warehouse balance
Request a location-based reconciliation. Include supplier-held stock where applicable, the brand warehouse, co-packer stores, line-side material, opened partial rolls, samples and goods already issued to a job. Record which locations were checked and which are still awaiting a response.
A system balance and a physical count may have different scopes. A roll issued to production may no longer appear in the available warehouse balance while remaining physically capable of entering the next run. Ask the site to reconcile those differences through its normal process.
Do not combine unknown quantities with confirmed counts. Record the unit and method used: identified full rolls, counted labels, estimated partial stock or another documented basis. The immediate decision is where the affected material is and who controls it, not whether a rough total looks tidy.
Make the hold visible in both records and handling
Have the authorised site owner determine how affected stock is segregated or otherwise prevented from normal issue. Follow the site's system and physical controls. A spreadsheet marked obsolete is insufficient if the picking team still sees the stock as available.
Use clear identity and status records that cannot be confused with the replacement labels. If samples are retained for reference, identify their restricted purpose. A reference sample should not quietly re-enter production stock because it carries a usable-looking design.
The reorder approval guide establishes the version intended for reprinting. Closing old stock is a separate task: it prevents a correctly ordered new revision from being mixed with material already present elsewhere.
Record disposition as a decision with evidence
Use the following editorial record to connect the change, stock and authorised action.
| Field | Required record | Closure question |
|---|---|---|
| Change scope | Product, component and superseded revision | Which material is affected? |
| Transition | Authorised effective condition and owner | When does use stop or change? |
| Location | Each holder and physical storage point | Who controls the stock? |
| Quantity basis | Confirmed count, estimate or unknown | What has actually been reconciled? |
| Current status | Site-controlled hold or other instruction | Can normal issue still occur? |
| Disposition | Authorised action and responsible party | What may happen to the material? |
| Completion | Evidence and unresolved balance | Is the old-stock loop closed? |
First define the affected revision and transition. Obtain each location's reconciliation, apply the authorised control and request the disposition decision. Record completion against each location rather than closing the entire issue when only the main warehouse replies.
Possible routes must come from the authorised parties: retention for a defined reference purpose, return, an approved limited use or disposal under the applicable procedure. Do not assume any route is permitted merely because it avoids writing off stock. Commercial responsibility and costs need separate agreement.

Two changes can require different transitions
A hypothetical decorative refresh may have an explicitly approved transition plan from the brand. The stock record should preserve that permission and its limits rather than introduce an invented immediate destruction requirement.
A different change may require the old version to be held while the responsible team reviews it. A desire to avoid waste does not authorise the line to continue using it. Purchasing can make the decision easier by supplying accurate quantities, locations and delivery implications.
If a discrepancy is discovered after material was issued, use the quality-issue evidence guide to preserve the relevant job and stock references. Do not diagnose the extent from one photograph or retrospectively mark unreviewed material as acceptable.
For cosmetic label reorders, provide the new artwork, previous job reference, quantity per version and transition requirements. Identify supplier-held stock that needs reconciliation. The contact form prepares a message; send supporting files through email or WhatsApp. The useful confirmation is which revision will be supplied and how any affected old stock is controlled.
